How Lesson Follow-up handles your data.

Who runs this
Lesson Follow-up is run by Ondřej Veverka, an English teacher in the Czech Republic. Contact: onrejveverka@gmail.com.
This website
This website (lessonfollowup.com) has no analytics and no advertising and sets no cookies. If you write to me, for example to ask for early access, I receive your e-mail address and your message. I use them only to reply, and I do not share them.
- Hosting. The site is hosted on GitHub Pages. GitHub may log technical data such as your IP address when you load a page.
- Fonts. The text uses fonts loaded from Google Fonts, so your browser contacts Google to fetch them.
What Lesson Follow-up does
Lesson Follow-up is for teachers. You keep a daily Google Doc of your lessons. When you mark a lesson as ready, the tool writes a follow-up e-mail for your student from your notes, and after you have had time to read and change it, sends it from your own Gmail. It also keeps a Google Doc for each student with a record of the lessons.
What it can do in your Google account
When you connect, Google shows you these permissions. The tool asks for nothing else.
- Send e-mail as you (Gmail "send"). To send the follow-up e-mails you have approved to your students, from your address. This permission cannot read, search, list or delete any e-mail. The tool never reads your inbox.
- Google Drive, only files the tool creates (Drive "file"). To create the folder "00 Follow-up Google" and the files in it: your daily Docs, one Doc per student and your student list. The tool writes these and reads them back when you mark a lesson as ready. Also, once you switch a class on, to give that student read-only access to their own lesson record so the link in the e-mail opens. With this permission the tool can open only the files it created. It cannot see the rest of your Drive.
- Your Google address and sign-in identity. To know which account has connected.
What data the tool handles
Data you enter or that the tool creates for you: your Google address; the names and e-mail addresses of your students; your teaching schedule; anything you write in the optional columns of your student list (a focus for each student, private notes and an estimated level); your lesson notes, new words and homework; and the follow-up e-mails written from them. The student Docs, the daily Docs and the student list live in your own Google Drive and stay yours. When you first connect, the sign-in page also asks a few set-up questions (the language of your e-mails, how to sign them, your time zone, whether you prepare lessons in advance) and stores your answers with your account.
How the student list columns are used. Focus is copied into that student's Doc and shown under their name in your daily Doc. If you have switched the class on, the student can see it in their Doc. Private notes are shown only to you, under the student's name in your daily Doc. They are never put in an e-mail or in the student's Doc, and never sent to the AI service. Level is for you only; the tool does not read it.
How it is used
Only to do what you asked: write the draft e-mail, send it, and record the lesson in the student's Doc. It is not used for advertising, profiling or any other purpose, it is not sold, and it is not used to build or train AI models by me.
Google API data. The tool's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. No person reads your Google data except you, and me only if you choose to share a folder with me so that I can help with an error.
Who else touches the data
- Google, because your Docs, Drive and Gmail are Google services.
- An AI service (Anthropic). To write a draft, the text of your notes, the new words, the date, and the student's or group's name as it appears in your student list are sent to Anthropic, the company that makes the Claude AI model. Files you tag in your notes are not opened or sent; only their names and links are used. Anthropic processes the text to produce that draft, under its terms and privacy policy. Student e-mail addresses are not sent. Neither are your private notes, the focus or the level from your student list.
- Cloudflare, which hosts the sign-in page. For up to 14 days, or until I collect it, it holds your Google access key in encrypted form. After that it is deleted.
Sharing you choose. When you set the tool up, you can tick a box to share your new folder with me (view only) so that I can see what went wrong and help. It is optional, off unless you tick it, and you can stop sharing the folder in Drive at any time.
I do not share your data with anyone else. Some of these providers process data outside the EU/EEA, and rely on recognised safeguards such as standard contractual clauses.
Where it is kept and for how long
- Your Google access key is kept on the computer that runs the tool for you, in a protected file. It is removed when you disconnect or ask me to delete your data.
- A working record on that computer holds the identifiers of your files and the drafted text and word lists, so that nothing is sent twice. It is deleted at your request, and in any case within 30 days after you stop using the tool.
- Your Docs, e-mails and student list stay in your Google account. Apart from the working record above, I do not keep a copy.
Disconnecting and deleting
You can stop the tool at any time yourself: Google Account, Security, Third-party apps with account access, then remove Lesson Follow-up. It works immediately and you do not need to ask me. Your Docs and Drive files stay with you.
To have your data deleted from my side, write to onrejveverka@gmail.com. I will delete your access key and the working record, and confirm, within 14 days.
Your students' data
You decide which students are in the tool and what you write about them. Under data protection law (the GDPR) you are the controller of that data and I process it only on your instructions, to provide the tool. Please tell your students that you use it. Write private notes as you would want the student to read them one day: a student has the right to ask to see what is held about them, and that includes these notes. The tool is meant for adult learners; if you teach children, you are responsible for the consent your law requires. A student can ask you, or me, to see or delete what is held about them.
Security
Access keys are stored in protected files and encrypted on the sign-in page. Every e-mail the tool sends is visible in your own Sent folder. The tool asks for the narrowest Google permissions it can work with.
Cookies
The sign-in page sets one short-lived technical cookie to make sure the sign-in you finish is the one you started. It is removed when the sign-in is done. There are no tracking or advertising cookies.
Your rights, and changes
You can ask me at any time what I hold about you, to correct it, or to delete it. Write to onrejveverka@gmail.com. You may also complain to the Czech data protection authority (Úřad pro ochranu osobních údajů, uoou.cz). If I change this policy in a way that affects the tool, I will tell connected teachers by e-mail before the change applies.
